Data Storage and Access to Information

During your induction process, the storage, copying, backing-up, and use of all electronic company data will be explained to you and the process flow for sharing and storage of said data will be provided. It is imperative that you understand the procedure and ensure the correct process is followed so that you and your colleagues will be able to access the necessary information required for you to perform your duties.

This includes ensuring that all document templates used are the latest revision/ version available.

Personal Information for Company Purposes

It is important that our records are correct, as inaccurate or out-of-date information may affect your salary or cause difficulties in situations where contact is required for emergencies. You must notify your Manager immediately of all changes in the following personal information:

  • Name
  • Home address
  • Telephone number
  • Bank account details
  • Examinations passed/ qualifications gained
  • Emergency Contact
  • Driving license penalties ( if you are required to drive on Company business)
  • A criminal charge, caution, or conviction
  • Conflict, or potential conflict of interest

Personal data on employees is held in accordance with the provisions of the relevant legislation, is not for use outside of the organisation, and is treated as confidential information at all times.
